Case Study: Travel Assistance International can access their data 24/7 from anywhere with Access Financials

Travel Assistance International (TAI), was formed in 1995 to deliver repatriation solutions to the medical insurance market. It aims to support clients with specialist and technical expertise over and above that of a general travel agent.

After (TAI) successfully migrated their Payroll software to the cloud, they wanted to stay ahead of the curve and transition their full accounting suite to Access Financials; having everything joined up in one place was important to Darren and his team.

Leveraging the same on-boarding consultant for both migrations, Darren and his team felt at ease transitioning their on-premise Access Dimensions software to Access’s cloud-based Financials solution.

Choosing Access

Travel Assistance had specific requirements when making their transition to the cloud; the migration from one application to another that was being deployed at the start of the pandemic needed careful planning and required remote training for Darren and his team. With Access Financials being the next generation of Dimensions, it was the perfect solution for Travel Assistance. Darren Connelly, Company Accountant, says:

We knew Access Dimensions did everything we needed. We wanted to find an application that replicated that and Access Financials was the next generation of that product. It worked perfectly hand in hand with what we needed and gave us a lot more benefits, including being able to access the program from home and from wherever we were located, this has assisted us greatly.

Journey to the Cloud

Steve took time to understand our business and how we operated, I think that was the biggest thing.

Access’ onboarding consultant, Steve, worked with Travel Assistance and their complex setup and workflows to ensure their new Access Financials solution supported these, and to ensure their migration was as smooth as possible from start to completion.

Moving to the cloud and having everything connected in Access Workspace has made Darren and his team's lives a lot easier. Before the implementation, Travel Assistance were taking calls and then having to go back into the office to get additional information; now the team are able to access everything in one place, at their fingertips, from anywhere in the world.

Having Access Workspace allows us to work away from the office 24/7. The ability to have everything at your fingertips makes life a lot easier, especially in the current climate.

Access Workspace has allowed Travel Assistance to streamline business operations, work more efficiently and improve productivity by having their Access Financials and Access Payroll in one place. Having the option for staff to self-serve and only have access to what they need for their role, meant users were able to adapt quickly to their new system.

Access Financials

The AOI integration with Access Financials has made a huge difference to day-to-day operations. Travel Assistance are now able to export financial information out of Financials into Excel spreadsheets and keep them updated through their cloud-based system, saving a considerable amount of time every day.

With Financials, you can export data easily to Excel and pre-build relevant reports. Once they’re built, they’re built until you change them. All you need to do every month is just refresh that data and that’s your report done for the month.

Access’ onboarding team worked closely with Darren to understand their reporting needs and built his team a set of reports unique to his business. Having to only refresh these reports once a month has saved a considerable amount of time and made financial reporting significantly easier for Travel Assistance.

“The reports I get now are far more in-depth. I can get comparisons year on year, budget comparisons, balance sheet comparisons, cash flow forecasts and much more. I now have a pack of about 15 reports that I report through to our management team which is far more beneficial to the business and gives us information that allows us to make decisions quicker, on the back of information that we know is correct.”
