Improving the candidate screening experience

Having assessed the candidate journey, Rullion discovered a big pain point was screening and vetting. Because this was a manual process involving multiple documents and spreadsheets, it was proving to be very laborious, both for Rullion staff and for their candidates. Emailed documents which couldn’t be opened, files that were too big, candidates having to print, sign, scan and resend – the entire experience wasn’t ideal.

The screening function was siloed into three separate teams, all working manually with individual documents and spreadsheets, all of which made it difficult for screening staff to keep track or produce performance data.

The vision was to create one centralised team, supported by a streamlined system and processes. 

The goal we set out to achieve was: Could we get 80% of the data checks we needed though one place and one service?

Creating a centralised screening hub

When you look at our starting point, almost any solution would have made a difference. But we wanted to go further. We wanted to bring it right up-tospeed and up-to-date.

Working in tandem, the restructure of the screening teams, rewriting of processes and the implementation of Access Screening took just 8 weeks to complete.

As well as bringing processes together and creating a centralised team all using one service delivery tool, the transformation also allowed for the emphasis to shift on to improving the candidate screening experience.

We had to be very organised. It wasn’t just about bringing Access in. We rewrote all of our documentation for screening, we restructured the team, and we also restructured some of our internal processes and protocols for things like referencing and insurance requirements.

We essentially rebuilt everything and simultaneously configured Access Screening to work to that. It went really well! And we had people in the screening team who had never configured a thing so that was quite exciting for them.

Previously, the screening process could take 3 weeks and references could go on forever because they were manual. That’s all gone. We now have an average timeframe of 7 days across all business areas including references. It’s amazing.​
