How Premier Care improved candidate turnaround by two weeks

Premier Care is a provider of home care services with over 20 years of experience. It is dedicated to enhancing the quality of life for others. Premier Care helps people with a variety of disabilities to live independently in their own homes.

Challenge

  • Multiple systems to deal with the many checks required for healthcare workers
  • Admin-heavy manual process – significant time wasted in managing the process end to end
  • Manual process left a lot of room for error and missed checks, with high management liability in a heavily regulated industry

Approach

  • To work with a software provider who understood the business
  • Implement a system that fitted into a planned growth model

Results

  • Reduced admin draw – saving the equivalent of an entire admin position
  • Shortened candidate turnaround by two weeks
  • Improved compliance, ensured CQC required checks complete before a candidate is marked as rota compliant
  • Branded candidate portal providing a consistent candidate experience

Before Access Screening

Before implementing Access Screening, Premier Care had a manual candidate checking process, which was both admin-heavy and had a high risk of errors and missed elements.

We had a lot of systems in place for screening, and that type of manual process becomes a constant drain on the admin side, as well as being difficult when it comes to managing compliance and auditing.

Healthcare is a highly regulated industry, and it’s imperative that all candidates are thoroughly checked and that all candidate data is collected in line with CQC regulations. With the manual process Premier Care had in place before Access Screening, missed checks were always a worry.

As a manager, it’s always on your mind that if something is missed because you’re using a manual process, and something does go wrong, you will have liability for it.

Working with Access Screening

From the outset, Premier Care had an excellent working relationship with Access and the Screening team.

Since implementation, Access Screening has always been on hand to help Premier Care get the most out of its screening products.

I’ve had a really good experience with the support team. Recently we had a query regarding DBS deposits, and we got an instant reply. They were able to sort what we wanted quickly and well within the timeframe promised.

Within Access Screening, companies can create timesaving reusable workflows and templates that can be configured for each client and worker. Administrators can then track candidates’ progress on their compliance dashboard to monitor every stage.

The biggest advantage is that the candidate does it themselves rather than us, so they’re filling out their own details in the candidate portal. We then just need to monitor what they’re doing, chase the references, or prompt them through that workflow when necessary.

Using the candidate portal not only saves time but also creates a high-quality candidate experience. Premier Care utilised the ability to personalise its candidate portal with the company’s brand to provide a consistent candidate experience.

What our customers say

Benefits that make a difference

Premier Care has seen many benefits since introducing Access Screening. With the Access Screening, all CQC required checks must be complete before each candidate can be marked as rota-compliant. This means managers at Premier Care can be confident that they are meeting all regulations with every candidate they take on, reducing that worry they had with their previous manual process.

Dan also estimates that introducing Access Screening has saved Premier Care the equivalent of an entire admin position in the time needed to process candidate checks.

Improving candidate turnaround times

Further to the significant time savings and improved compliance processes, Premier Care has also seen a marked improvement in its candidate turnaround times.

There are so many moving parts. Chasing references and making sure each candidate is what we class as rota-compliant was much more staggered before. With Access Screening, it’s a lot quicker. We’ve got people ready to go on the rota pretty much straight after the induction training, whereas previously there’d be three to four people who would have to wait weeks for a DBS to come back or a reference to be chased in before they could start work.

Dan estimates that their candidate turnaround has improved by an average of two weeks, which gives the company a considerable financial boost when it comes to the recruitment process.

Having someone working two weeks earlier is obviously a direct improvement. We have contracted hours, so if someone isn’t rota compliant, we still have to pay them while we wait. It’s a huge benefit there.
