’The time and attendance system I personally believe is a really good part of this product. All of our staff have a small fob disk that they use to clock in and clock out with. It’s allowed us to look at people’s timing factor and highlighted to us that a lot of our staff are actually turning up late.

Overcoming Challenges: how Chaseley Trust improved their CQC inspection results

The Chaseley Trust is a unique charity that pride themselves on enabling people to maximise choice and control over their lives whilst respecting the privacy and dignity of those in their care.

At the start, there were a lot of issues around administration, there were no software solutions in place, everything was mainly in a spreadsheet format and there was no database. This lead to staff shortages and it was hard to monitor the punctuality of staff. In return, this impacted CQC inspection results and the care services wasted a lot of time and money on tasks that could be easily managed by a single digital platform.

Implementing Access PeoplePlanner as a solution

The Chaseley Trust decided to digitise its care service by implementing Access PeoplePlanner (previously called CareBlox). This option offered them the functionality they required around managing care as well as the essential processes including the planning of people and staff rotas.

Five Greens on CQC Inspection

After implementing PeoplePlanner to manage their staffing levels, The Chaseley Trust achieved five greens on their CQC inspection. This shows that the changes that they have made, both with the administration side and with their care planning documentation have influenced this positive result.

Improved Staff Monitoring

Access PeoplePlanner has made things a lot easier to access information about staff and residents. For example, management can see which staff have turned up for work on time and see who’s off sick and how it’s being managed. Lesley Standing the Operations manager said that ‘’it’s really changed a lot as a senior manager’’ as she now has an overview of both her business and her staff.

No More Staff Shortages

PeoplePlanner allows management to see staff shortages well ahead of time, which means they can resolve the issue before it becomes a problem. The system also allows staff to pick up shifts when their colleagues call in sick, as they get notified through the tech system when a shift becomes available. This helps to reduce agency costs alongside staff shortages.
