What is a POS report?

A POS report is a compilation of data gathered by your point-of-sale system, which is stored automatically with every transaction. This data can be organised into various reports, allowing you to analyse anything -what was sold, when it was sold, who sold it, and how much it cost.

Each report provides valuable insights into a specific area of your business, allowing you to make data-driven decisions that can improve your overall performance and profitability.

Most commonly used are the reports showing daily sales volume or inventory levels, but the reporting capability of Access EPoS is much more advanced, equipping you with an in-depth look into your business's financial health and utilising your POS to its fullest potential.

Key report types available with Access EPOS

Below, we cover some of the most essential reports you can generate to maximise your business's potential.

Sales and financial reporting

Knowing how much you are selling is critical to understanding your performance, and sales reports do just that - showing you exactly how much money your business is making. They can break down your sales in several ways to help you understand what's working and what's not, such as:

  • Sales summary - for a high-level overview of your total sales over a specific period, data is displayed daily, weekly, monthly or yearly.
  • Sales by product/category - allowing you to see which items are selling well and which aren't.
  • Sales by hour/daypart - to understand your busiest times.
  • discount analysis - to track the discounts applied in each venue and each day (e.g., see which types of wine sell best with a discount).
  • Net sales by site - a feature useful for multi-site operators, tracking like-for-like data and comparing sites in a league table.

Sales reports can be customised by various filters, like team members, location (you can select reporting areas as well), seating area, type of sales (dine-in or takeaway), or a prime group (food and beverage). You can also compare your current week's sales to the same period last year to see if you're trending up or down.

Enterprise reporting

Enterprise reports provide a broader overview of your estate of sites and include a wide range of financial information, such as revenue, profits, and cash flow, which can be exported to your account package (Sage, Xero, etc.)

  • Enterprise sales reporting – monitor your estate of sites, compare to each other, budgets & previous years.
  • Group Weekly trading reports – management can see the entire trading week in one, simple to view overview.
  • Analytics – displayed through Access Workspace, where multiple software solutions can generate analytical data views for the entire estate or individual sites.

Inventory / stock reporting

Inventory reporting helps you keep track of the on-hand products you have in stock. These live reports update with every product sold, and the data gathered allows you to view both overstocked and low-stocked products, making sure you don't run out of a best-selling item or have ingredients spoiling in the back

Our comprehensive stock order reports will highlight such data as missing stock, wastage, variances and GPs.

Inventory/stock reports can be generated based on:

  • Purchase Info/Supplier Performance
  • Goods Received
  • Wastage
  • Stock Valuation
  • Stock Transfers
  • Stock History
  • Stock Audit

Daily management control

End-of-day (EOD) reports summarise the day's activities and ensure that everything adds up once your till has been closed for the day, such as:

  • Cash declaration showing variances
  • Integrated card payment auto declaration
  • End of day reporting
  • Petty cash control
  • Banking
